Retreat Booking Terms & Conditions
Introduction
This Agreement is made between you, the Customer (“you”) and “Green Farm Kent Ltd” (“GFK”, “we”, “us”).
All Weekend & Day Retreat (“Retreats”) bookings are subject to these Terms & Conditions and in making a booking you accept these Terms & Conditions.

There are separate Terms & Conditions for Spa Treatments, Spa Days & Stays and for Workshops & Events. Please ensure that you are accepting the correct Terms & Conditions for your booking.

Due to the special nature of our Retreats, we only have capacity for a limited number of participants, so cancellations have a major impact if we are unable to fill all the available spaces.

At Green Farm
GFK is committed to making your stay at Green Farm as enjoyable and relaxing as possible. We will encourage you to take advantage of the setting of Green Farm and enjoy the outdoors which is private fields and woods with uneven ground. Whilst GFK carries public liability insurance, GFK can accept no liability whatsoever for any injuries or illnesses arising from your stay with us.

It is your responsibility to inform us before your arrival of any allergies or other dietary requirements. On confirmation of your booking, you will receive a form for completion. It is a booking requirement that this form is returned to us as soon as possible and well ahead of your visit. Your booking may be subject to change or cancellation if this form is not returned in good time.

You will inform GFK of any medical changes that may be relevant.
​
If you have any concerns at any time regarding your stay at Green Farm, you agree to raise them with us promptly so that we can address them at the time.

Using the Spa
If you are taking any treatments at the Spa at Green Farm, you agree to adhere to the Spa Terms and Conditions. You also agree to adhere to the rules governing the use of the sauna and hot tubs.

Please ensure you are at the spa in plenty of time for your appointment as late arrivals will result in a reduction of treatment time, reducing its effectiveness and your pleasure. Your treatment will end on time so that the next guest is not delayed.

On booking an additional spa treatment, you will receive a consultation form which we ask you to complete fully, as soon as possible, so that we can consider any relevant conditions. Completion of the form on arrival at the spa may result in a reduction in your treatment time Additionally, if you are pregnant, please consult your doctor and request an approval letter for any treatments and remember to bring it with you on the day.

Participating in active activities
If you are participating in “active” activities (yoga, personal or group training, walking, hiking, cycling or similar; collectively “Activity”), then you also agree the terms of this section.

You should consult with a physician before participating in the Activity. You acknowledge that you have voluntarily chosen and requested to participate in the Activity and that you are aware that participation in the Activity may be hazardous. You have knowledge of the risks of injury, and you assume all responsibility and liability for all injuries you may sustain due to your participation in these Activities.

If you borrow one of the GFK bikes or other equipment or use the running or walking routes outside GFK private areas, you do so at your own risk.

You further acknowledge that a certain minimum level of physical health, strength, fitness, and flexibility may be required, and you represent that you possess the level of health, strength, fitness, and flexibility necessary to participate in the Activity. You will let us know if you have any questions about this requirement.

Payments, Gratuities & Cancellations
GFK accepts cash, MasterCard, American Express, Visa and PayPal as payment. Gratuities will be paid to individual staff members on request or shared between staff members working on that day.
​
All Retreats require a non-refundable deposit to secure your booking. Your booking cannot be confirmed or guaranteed until the deposit has been received. You agree to make full payment in the time required for the event (1 month before arrival for Weekend Retreats and Day Retreats). You may change the date of your booking once, any time until the full payment is required, at which time the booking cannot be cancelled or moved. You may like to consider some form of travel insurance to protect against any unforeseen cancellations, which may result in loss of your deposit or payment; this can be sourced very cheaply - just a few £s.

When a reservation is made with a Gift Card, the same payment terms apply. The deposit will be deducted from the Gift Card at the time of booking and full payment will be deducted at the time required for the retreat.

We would not expect to amend or cancel your booking, but if this does happen, we will let you know as soon as we can and refund any fees that you have paid. However, we will not be liable to refund any fees you may have paid to any third party in connection with your booking and we strongly advise that you take out travel insurance if appropriate.

Gift Cards
Gift Cards are available for specified services, packages, or GBP amounts beginning at £25 and are not redeemable if lost or stolen. If you are a recipient of a Gift Card, please provide the certificate number to make your booking. As stated above, deposit and full payment terms apply to Gift Cards. Gift certificates are valid for one year from the date of purchase, and expiration dates cannot be changed or extended. Donated or auctioned Gift Cards may have a shorter period of validity.

Prices subject to change
We are constantly expanding our services to bring you the latest and greatest. Although we make every effort to keep our website and spa menu updated, please note that prices and services are subject to change at any time. We love having you as a client, but we do reserve the right to refuse service at any time, to anyone, for any reason.

Commitment to data security
Your personally identifiable information is kept secure. Only authorised employees, agents and contractors (who have agreed to keep information secure and confidential) have access to this information. All emails and newsletters from our sites allow you to opt out of further mailings. GFK will never sell trade, rent, exchange or otherwise share your personal information with any other person, company or organisation.
