BOOKING POLICIES & RISK ASSESSMENT
Our Coronavirus Booking Guarantee
Book in complete confidence with our Coronavirus Booking Guarantee, with low deposits, balance payments near the time of your holiday and flexible rebooking if required. This guarantee only supercedes the standard Terms & Conditions for these specific points.
Coronavirus Booking Guarantee
The following terms apply under our Coronavirus Booking Guarantee. You will need to agree to these terms before you confirm your booking. This policy supersedes any standard cancellation policies which may usually be in place.
-
A deposit of just 25% to secure your booking
-
Balance not due until 7 days before your holiday, in case of late changes to Coronavirus guidance
-
Complete flexibility to move bookings for up to 18 months if you cannot come for a genuine coronavirus reason (new government restrictions; imposed self-isolation etc.)
-
Full credit against the future booking of monies paid or full refund of monies paid if Government regulations mean that your stay cannot go ahead up to the day of your arrival. For this purpose, Government regulations include lock downs that prevent us allowing guests to stay or you to travel. This clause does not include self-isolation or personal illness
A balance payment for the full amount will be due 7 days before your holiday starts, when you can be sure that your holiday is going ahead.
Flexible Rebooking Policy
In the event of cancellation due to government required Coronavirus restrictions or for imposed self-isolation, you have the flexibility to move the booking to alternative available dates within 18 months of the start date of your holiday (the 'flexible rebooking policy') with no additional charges. If you choose a date where the Barn is only available at a higher price, the additional prevailing rate for the stay will be due. The flexible rebooking policy is only available for cancellations related to genuine Coronavirus restrictions. Flexible rebooking is not available for cancellations related to weather or other reasons.
Cancellations
Cancellations for any reason other than Government regulations as defined above will forfeit all monies paid unless we are able to rebook the Barn for your dates. In this case, we will refund monies paid less our external finance charges.
Insurance
We recommend additional cancellation insurance to cover in the event of cancellations other than Coronavirus restrictions.
Barn Risk Assessment and Control Measures
updated JAnuary 2022
Advisory note pre arrival – Please don’t travel if you show signs or household members are showing signs of COVID-19
If a guest shows signs during their stay, then immediately contact the NHS for further guidance, see below
Introduction
SARS-CoV-2 is a respiratory virus that can invade a host via the respiratory route or via hand to eye / mouth / nose contact, causing the disease COVID-19.
People who appear healthy may be carrying and shedding the virus, which can be passed on either directly or indirectly to others. This means we need to assume that anyone could be carrying the virus.
The routes of transmission (how the hazard can cause harm – the risks)
-
Direct contact to face – eyes, nose from droplets or aerosols spraying from an infected person onto another person who is in close contact
-
Contamination via droplets from sneezing and coughing landing on surfaces and then transferring via hands on to eyes and nose and mouth. Other means of secretions getting on to surfaces could be from infected people touching their eyes, nose and mouth and then touching surfaces with contaminated hands
-
Contaminated hands of infected people can transfer the virus directly to others (e.g. handshakes) or on to hand contact surfaces which can be picked up by other people’s hands and transferred to their eyes, nose or mouth
-
Possible transmission from faeces to hands and then directly or indirectly to the body via hands and hand contact surface transfer
The main controls are:
-
Social distancing in accordance with government guidelines
-
Disinfecting hand contact surfaces
-
Hand washing and hand sanitizer use at key moments
-
Not touching eyes, mouth or nose with contaminated fingers
-
Wearing face coverings to prevent transmission from breath, coughing & sneezing where appropriate
The controls set out in this document are specific for the Barn at Green Farm, considering how we operate, and how guests and staff use the premises and interact.
NHS Test & Trace
Test & Trace is compulsory for all businesses, and it is in operation at Green Farm. The following actions need to be taken:
-
The principal way that we manage Test & Trace is to ensure that everyone who comes to the Barn is individually registered for their stay. This means that we need to know the name and contact details of everybody in a group, not just the group “leader”. In addition:
-
A Barn at Green Farm QR code is displayed at the entrance to the Barn
-
All staff not on the roster will use the NHS Test & Trace App and “zap” in on the QR code on arrival at Green Farm
-
Hazard: General Pre-Arrival & Checkout
Who is at Risk? Guests and hosts
Control measures
-
We will sanitize the gate latch, keys, key safe and front door if the property has only been cleaned less than 72 hours before your arrival
-
We will try and pop over and see you once you have settled in, in case there is something that you need. Please maintain social distancing and do not offer handshakes
-
If you need us to accept a shopping delivery before you arrive, please call us and we'll do our best to be around. We will wash our hands immediately before doing so
-
If there are any maintenance issues during your stay, please call us and we will attend when you are out. If not possible, please stay in another room whilst we are fixing the problem. We will wear face masks while we are indoors in the Barn or Cow Shed
-
Please do not leave your rubbish and recycling for our cleaners to handle. Please bag all rubbish in black bin-liners and all recycling in clear bin liners and place in the respective wheelie bins by the gate. You will find a couple of bin liners to get you started under the kitchen sink (please remember that you are self-catering and do need to bring your own supplies)
-
Please let us know when you are checking out and leave the keys on the hooks
-
During the summer months, we will keep the Barn aired as much as possible up to your arrival, within weather and security considerations. Guests are requested to keep as much airflow in the Barn as possible during your stay and leave all doors and windows open on checkout, within weather considerations
Hazard: Barn cleaning: items that previous guests may have used
Who is at Risk? Guests, hosts and cleaners
Control measures
-
There is sanitizer available on entry to the Barn and a sign reminding you to wash your hands each time you enter the Barn from outside. Please let us know if the sanitizer bottle needs to be refilled during your stay
-
All rooms: all high touch surfaces & items are cleaned and sanitized on each changeover including surfaces, handles, door handles, light switches, radiators, and stair rail
-
Bathrooms: as above, remembering the taps and shower fittings
-

-
Tea, coffee, sugar cannister, salt and pepper are duplicated; the set provided for you will not have been used by the previous guests
-
Sitting room, bedrooms: as above remembering remote controls, tops of wooden dining chairs, wooden chair arms in bedrooms
-
Linen: please do not strip the beds as shaking the sheets can spread the virus. We will carefully remove all the linen in each room, including pillow and duvet protectors and bag them for laundering
-
Bottled soap is available at all the sinks including the kitchen. These will be sanitized on changeovers

-
The BBQ will be carefully cleaned with the handles and gas knobs sanitized
Hazard: Barn cleaning
Who is at Risk? Guests, hosts and cleaners
Control measures
-
Staff and hosts will wash their hands frequently when cleaning the Barn. We believe that wearing gloves gives a false sense of security; the virus can be transferred by a glove just as easily as by hand
-
Staff will ensure that there is as much airflow through the property as possible by keeping doors and windows open, within weather considerations
-
Please leave your final dish-washer washes in the dishwashers, clean. It would be helpful if as much as possible of all the cups, glasses, dishes, cutlery etc. from your last two meals are left clean in the two dishwashers. Please leave any other cups, glasses, dishes, cutlery, and cooking equipment that you have used during the last 72 hours of your stay on the side in the kitchen
-
All cleaning cloths used for the Barn are laundered after each changeover. Cloths are coloured for use in different areas (kitchen, basins, loos etc.)

You will find new jay cloths and washing up sponges under the sink. These are changed on each changeover
-
Front door/ patio chair arms and gate sanitized /wiped down ready for guest entry
-
Keys are sanitized and put ready in the sanitized key safe for the next guests to collect
-
We will launder housekeepers’ overalls after each changeover
Hazard: Cleaning Staff being Infected with Coronavirus
Who is at Risk? Guests, hosts and cleaners
Control measures
-
Any staff not feeling well are asked not to come to work and to follow NHS guidelines

Hazard: Guests Becoming Infected with Coronavirus while at the Barn
Who is at Risk? Guests, hosts and cleaners
Control measures

The current government advice if any of your party should show symptoms of the virus during your stay is:
"If a guest is displaying signs of the Covid-19 virus while staying in overnight accommodation for a permitted reason, they should inform the accommodation provider, immediately self-isolate where they are to minimize any risk of transmission, and request a test. If they are confirmed to have Covid-19, they should return home if they reasonably can. They should use private transport but only drive themselves if they can do so safely. If a guest cannot reasonably return home (for example because they are not well enough to travel or do not have the means to arrange transport), their circumstances should be discussed with an appropriate health care professional and, if necessary, the local authority. Guests should follow government guidance on dealing with possible or confirmed coronavirus (COVID-19) infection. Once the guest has returned to their main residence, they should continue to follow the government guidance on self-isolation, household isolation and social distancing.” -
Please note that you will be expected to leave the Barn on time and that you will be responsible for the full Barn rental costs if you have to extend your stay, including any losses that we incur by cancelling or delaying our next guests
